The administrative reality

Your practice should not depend on scattered messages and knowledge that lives in one person's head.

01

Overflowing inboxes

Patient and customer messages arrive across channels without consistent routing or ownership.

02

Inconsistent handoffs

Work is delayed, duplicated, or lost when responsibilities and escalation rules are unclear.

03

Repetitive manual work

Staff repeatedly retype, chase, and organize information that should move through a reliable system.

04

Unstructured AI use

Teams experiment with AI without shared policies, review points, or quality standards.

See the system

Real people. Real workflow artifacts. Clear accountability.

Every visual is grounded in the work AdminMates delivers: founder-led analysis, documented processes, clinic operations, measurable change, and human-reviewed execution.

Founder-led

Healthcare context meets data and workflow discipline.

AdminMates was founded by Andrie Udal, with PhD training in Medicine and Data Science, to help physician owners apply AI to real operational problems with the structure, caution, and human oversight healthcare environments require.

AI Workflow Doctor is our workflow-consulting position: diagnose the workflow, design the system, and keep humans in control. It does not describe patient care or clinical practice.

Independent industry evidence

What better healthcare workflows can achieve.

Publicly reported examples from independent healthcare organizations show how disciplined workflow design can reduce administrative work, improve coordination, and support sustainable growth.

Governance & website policies

Clear expectations for responsible work.

These summaries explain how AdminMates approaches privacy, accessibility, AI-assisted work, and professional boundaries. They are general information and should not be treated as legal advice.

01

Privacy & data handling

AdminMates collects only information reasonably required to answer enquiries, provide services, maintain client relationships, operate this website, and meet legal or administrative obligations. This may include names, business contact details, correspondence, service requirements, and information voluntarily submitted.

AdminMates does not sell personal information. Trusted providers may support hosting, communications, scheduling, analytics, and workflow delivery, with access limited to what is reasonably necessary.

Do not submit patient records, protected health information, clinical notes, passwords, or confidential regulated documents through ordinary website forms, email, or messaging. Sensitive information may be handled only after an appropriate written agreement, approved system, and secure process are established. Clients remain responsible for determining their regulatory obligations and approving the tools used in their operations.

Reasonable administrative and technical safeguards are used, but no internet transmission or storage system is completely secure. Depending on applicable law, you may request access, correction, or deletion by contacting hello@adminmates.com.

04

AI use & human review

AdminMates uses AI only to support defined administrative workflows. AI may help prepare, summarise, classify, organise, retrieve, or recommend information. Before implementation, we identify the workflow's purpose, inputs, outputs, decision points, approvals, escalation rules, and human-review checkpoints.

AI outputs may be incomplete, inaccurate, biased, outdated, or unsuitable for a particular context. An appropriately authorised person must review them before they are relied upon or communicated externally. AI-supported administration is separated from final clinical, medical, legal, financial, employment, regulatory, and business judgment.

Clients approve workflows, authorised users, data sources, providers, retention settings, review procedures, and final outputs. Sensitive information must not be entered into an AI system unless its use has been specifically assessed, authorised, and contractually addressed.
